Workflow automation executes predefined steps through rules. An AI agent can undertake more flexible tasks, such as interpreting information and choosing steps toward a given objective. Not every task needs this flexibility. If simple rules can reliably complete a process, a more complex model can create extra costs and oversight requirements.
Assess uncertainty in the task
Transferring a specific field to another system and interpreting needs in free text are different problems. Conventional automation may suffice for the first; model assistance may be worth considering for the second. Break the process into parts and choose the simplest reliable method for each step. Calling the entire flow an agent does not clarify what it does. Document which input produces which output and how the result will be verified.
- Rule-based and interpretive steps
- Acceptance criteria for each step
Limit action authority according to risk
Reading data, changing records, and sending messages to customers do not have the same impact. Define which actions the system may perform automatically and which require approval. Steps affecting costs or customer relationships may need checkpoints. Design rollback and retry behavior for errors. Receiving a request twice should not trigger the same action twice; this is a more concrete reliability requirement than appearing intelligent.
- Authority matched to the action
- Approval, rollback, and safe retries
Do not treat external content as instructions
When an agent reads documents, messages, or web content, it must distinguish their statements from instructions issued by the business owner. Content must not be allowed to change system permissions or initiate new data sharing. Limit tool access to the scope necessary for the task. Reliability requires application boundaries and oversight mechanisms as well as language ability. Test these boundaries with difficult cases during the pilot too.
- Distinguishing content from instructions
- Limited tool and data access
Before putting this into practice
Before automating a record change, define what happens if the request arrives again. It should not generate a second quote or notification for the same customer. Set task-appropriate limits on the agent’s tools instead of granting unrestricted access.
How do you demonstrate business value?
Report completed tasks, human intervention, errors, and costs together. One working demonstration is not sufficient evidence to automate an entire operation. Start with a small scope and evaluate actual tasks. ReklamKlik connects agent and automation projects with concrete business processes and does not present unused complexity as growth. Delivery should also clarify responsibilities for oversight, maintenance, and model changes.
- Task success and human intervention
- A controlled pilot and maintenance
